* Called meeting to order at 6:10 P.M.
* Minutes from last meeting on April 5, 2016 were presented. Motion to approve by Joe, Second by Frank. Voted to approve.
* Review of Financials as of May 31, 2016
Operating Account $31,400.68
Reserve Account $14,743.95
Due to Reserves $ 6,855.00
Residential Assessment Receivable $18,394.23
Old Business
* Board agreed to amend the Fining Policy discussed at the April 5, 2016 Meeting.
Repeated discussion for attending Homeowners and explained that the existing Fining Policy included too many different amounts assigned to multiple violations. The Board decided to create categories within the fining structure and place violations into each category that would escalate in fine amount per the negative impact on HOA.
Janel agreed to present Board with recommendations.
New Business
* Sun Spot Proposal
Board discussed the need for regular mowing of the pasture and how to insure regular maintenance for the lowest cost. The decision to propose an amendment to the current Contract with SunSpot was made. The HOA will present a Proposal to SunSpot as follows:
* One Time Clean Up Fee $750
* 6 Mowing Thereafter @ $325 each
* Additional mows as needed at a cost of $325
Janel will contact Sun Spot with new proposal.

* Visiting Member voiced his dissatisfaction with delinquency fees and method of collection.

Annual Meeting of The Villages of Chisholm Ridge Homeowners Association will be
held at 6:00 P.M. on Thursday, October
27, 2016 at 7405 Howling Coyote. The
Association is a non-profit corporation chartered under the laws of the State
of Texas and, as such, is required to hold an Annual Meeting. The purpose of
the meeting is to (a) review the Association’s financial and operational
activity over the past year, (b) elect two (2) new Board Directors, and (c) address
any new business brought before the Association.
To
conduct a homeowners meeting, a quorum of ten percent (10%) of the members must
be represented in person or by proxy. In
order to be sure of a quorum, please

of the January 26, 2016 Board Meeting were approved on April 6, 2016 by
Kyle Benoit, Irene Norman, Joe Thompson, Frank Mann and Anita Wilson by
e-mail following the meeting on April 5.
The Board welcomed our new Association Manager, Janel Jones. Looking forward to a great working relationship in the future.
Items Discussed
ACC Forms
ACC
forms should be on file for any type of modification such as fence and
roof repairs. The forms are necessary for documentation to insure that
fence and roof repairs are replaced
with the same type and quality as the original.
Dead Trees
Some property owners have experienced difficulty keeping trees alive in their front yard.
Poor soil and ground conditions make it difficult for most trees
to grow, even after repeated attempts. The Board discussed the
possibility of planting smaller growing trees such as Red Buds. An ACC
form would still need to be on file to document that
attempts were made to replace dead trees.
Fining Policy
Board discussed ways to simplify the fining policy.
Janel Jones will submit an updated policy for the Board to review.

HOA News: $25 Fee Eliminated
To make changes, additions, architectural improvements, etc., these projects will still need to be submitted to our management company for approval, but the $25 fee for this is no longer required. The Board has voted to pay PMG $180 per year in order to do away with this fee.

Approval of board meeting minutes of July 1 & July 3 by Anita Wilson, second by Frank Mann.
Financial review discussed payments for Sunspot and PMG . Adjustments are needed for both companies. PMG is asking for an increase of 10%. The board is offering a 5% increase beginning the new contract year in May. Anita Wilson offered to gather information for contract negotiations. Jennifer will make those recommendations to PMG.
New board positions are as follows:

Irene Norman Vice President 1 year term
Frank Mann & Norma Mann Secretary 2 year term
Anita Wilson Treasurer 1 year term
Joe Thompson Member at Large 2 year term
New member orientation is scheduled for Dec. 2 , 11:30 at 9001 Airport Freeway Suite 450 at Precinct Line Road. Joe will bring questions about costs of printing and copying to the orientation meeting Dec. 2. Jennifer is going to research this expense for that meeting.

We reviewed the 2016 Budget.
Homeowners were excused so that Executive Session could begin.
