Minutes, Quarterly Board Meeting, 6-28-2016

Below are the Minutes for the Villages of Chisholm Ridge Board Meeting of 6-28-2016.  These Minutes were approved in the Board Meeting of December 8, 2016, the first opportunity to approve them at a regular meeting.  This is a copy/paste procedure, so the format & spacing may not come out exactly right.

Present at meeting:
Board Members - Kyle Benoit, Irene Norman, Anita Wilson, Frank Mann, Joe Thompson
PMG / Association Manager – Janel Jones
Homeowners - Stephanie M Johnson, Shari Mardis, Norma Mann, Francis Webb, Elizabeth Thuo

* Called meeting to order at 6:10 P.M.
* Minutes from last meeting on April 5, 2016 were presented. Motion to approve by Joe, Second by Frank. Voted to approve.
* Review of Financials as of May 31, 2016
Operating Account $31,400.68
Reserve Account $14,743.95
Due to Reserves $ 6,855.00
Residential Assessment Receivable $18,394.23

Old Business
* Board agreed to amend the Fining Policy discussed at the April 5, 2016 Meeting.
Repeated discussion for attending Homeowners and explained that the existing Fining Policy included too many different amounts assigned to multiple violations. The Board decided to create categories within the fining structure and place violations into each category that would escalate in fine amount per the negative impact on HOA.
Janel agreed to present Board with recommendations.

New Business
* Sun Spot Proposal
Board discussed the need for regular mowing of the pasture and how to insure regular maintenance for the lowest cost. The decision to propose an amendment to the current Contract with SunSpot was made. The HOA will present a Proposal to SunSpot as follows:
* One Time Clean Up Fee $750
* 6 Mowing Thereafter @ $325 each
* Additional mows as needed at a cost of $325
Janel will contact Sun Spot with new proposal.

Open Forum
* Visiting Member voiced his dissatisfaction with delinquency fees and method of collection.

HOA Board Meeting, Executive Session

There will be an HOA Board Meeting at Dixi House on 12-15-2016 at 6:00 pm.  This will be an Executive Session of the Board to deal with some priority issues.  Due to privacy considerations, this is not an open meeting, meaning that Board Members only will attend.
